Position Overview
As our Administrative Assistant, you'll be the friendly face and first point of contact for visitors while keeping our sales team running smoothly—handling orders, tracking invoices, updating reports, and making sure everything is in tip-top shape.
Who are we looking for?

• Fluent in English & Maltese – Communication is key!
• Experience? – At least 1 year in a similar role.
Role & Responsibilities
• Be the Face of FBSM – Greet visitors with a warm welcome, assist with inquiries, and ensure a professional and friendly first impression.
• Stay in the Know – Keep track of all our awesome products, offers, and price lists. You’ll be the go-to person for any updates and info.
• Support the Sales Team – Sales reps rely on you! You’ll assist with client inquiries, update price lists, manage call sheets, and ensure everything runs smoothly when the Sales Managers are tied up.
• Be the Office Hero – Keep the office stocked with supplies, coordinate staff uniforms, and even help schedule interviews. If it needs organizing, you’ve got it covered!
• Master the Reports – Generate, update, and distribute daily sales reports, track stock levels, and ensure all important details are shared with the right people at the right time.
• Customer Service Superstar – Answer calls, assist clients with orders, check stock availability, and keep them updated on deliveries. You’ll make sure every client gets top-notch service.
• Order & Invoice Pro – Help process orders, track invoices, and make sure everything is in line with our accounting procedures. Keeping things accurate and efficient is key!
• All Things Admin – From filing to following up on tasks, supporting seasonal order input (hello, ice cream and hampers!) —you’re the glue that holds it all together!
